Custom Software

Software built around your business, not the other way round

When off-the-shelf tools stop fitting, we build the system your operation actually needs — designed around your processes, your rules and your data.

What custom software development means

Custom software is built for one organisation rather than sold as a product to thousands. Instead of reshaping how you work to fit what a tool allows, the system is designed around your real processes — your business rules, your terminology, your approval flows.

In practice this usually means replacing a sprawl of spreadsheets, shared inboxes and disconnected tools with one system where information exists once. It is the difference between a team that spends its day copying data between platforms and a team that works on the data.

It is not the right answer to everything. A good decision starts by being honest about where packaged software already solves the problem well — and where it quietly forces your business to work inefficiently because no alternative was ever considered.

What we build

Web applications

Applications that live in the browser and follow your team wherever they work, with no installs and no version drift between machines.

This is usually the right shape when several people need to work on the same information at once, with different permissions and a reliable record of who changed what.

  • Role-based access and granular permissions
  • Works across desktop, tablet and mobile
  • Full change history and audit trail
  • Updates ship without touching any workstation

Mobile applications

When the work happens away from a desk, the system needs a phone app as well as a browser. We build mobile as part of a custom project rather than as a separate product, so the app and the web side share one backend, one set of business rules and one source of truth.

For most business software that means cross-platform: one codebase covering iOS and Android, at a fraction of building the same thing twice. Native is the right call in specific cases, and we say so when yours is one.

  • iOS and Android from one codebase
  • Works with no connection, syncs on reconnect
  • Push notifications for time-sensitive work
  • Same backend and permissions as the web app

Business platforms

Systems that carry an entire operation: clients, cases, documents, billing, teams and reporting in one place.

Unlike a generic ERP, a bespoke platform speaks your organisation's language and encodes its rules. A property manager, a clinic and a field-service company run genuinely different operations, and the software should reflect that.

  • Client and case management
  • Centralised documents and history
  • Dashboards built for real decisions
  • Separate views for staff, management and clients

Integrations and APIs

Most companies do not need to replace everything — they need what they already own to talk to each other. We connect billing software, CRMs, e-commerce, accounting and internal tools so information moves without being retyped.

Where no integration exists, we build the layer in between: a purpose-built API that exposes your data in a controlled, auditable way.

  • Accounting and invoicing connections
  • CRM and e-commerce synchronisation
  • Purpose-built APIs for partners and internal apps
  • Error handling and automatic reprocessing

Process automation

A large share of administrative work is repetitive and predictable: generating documents, sending reminders, validating data, preparing reports, updating the same record in several systems.

Automating those steps frees skilled time and removes a class of errors. We always start by mapping the process as it exists today, exceptions included — that is where most automation projects quietly fail.

  • Automatic document and report generation
  • Scheduled reminders and alerts
  • Validation at the point of entry
  • Approval flows with a human in the loop

AI-powered features

Where it genuinely helps, we build language models into specific features: search across internal documentation, request classification, data extraction from invoices and contracts, or drafting assistance.

AI arrives as a component inside a system that already works, with defined boundaries and human review wherever a mistake carries cost. It does not replace business logic.

  • Search across internal knowledge
  • Data extraction from documents
  • Request classification and routing
  • Human review at the decision points

When it fits — and when it does not

Custom software is an investment. These are the signals that usually separate projects worth doing from projects that are not.

It fits when

  • The process is a competitive advantage and no product matches it
  • Your team loses hours each week moving data between tools
  • Growth is limited by manual work rather than by demand
  • You already pay for several licences to solve parts of one problem
  • You need systems that were never designed to talk to each other to integrate
  • Your data or compliance requirements are not met by generic tools

It probably does not fit when

  • Packaged software covers the process well and the team accepts it
  • The process is still changing every month and has not settled
  • The real need is training or reorganisation, not another tool
  • Nobody internally has time to steer the project
  • The budget covers building it but not maintaining it afterwards

How we work

A predictable path, with a clear decision point before each stage of investment.

  1. 01

    Discovery

We map the current process, talk to the people who run it and find where the real cost sits. You leave with a written scope, priorities and an estimate.

  2. 02

    Design

We settle the data model, the flows and the key interfaces, validating with clickable prototypes before any business logic is written.

  3. 03

    Build

We deliver in usable increments with regular releases, so the people who will use the system can test what exists as it exists.

  4. 04

    Evolve

After launch we watch real usage, fix what needs fixing and build the next phase based on what the operation actually reveals.

Technology

We work with mature, widely adopted technology so your system stays maintainable — by us or by any other competent team.

Where it typically applies

Common situations where a bespoke system solves something packaged software cannot. These are illustrative of the kind of work we do.

Client portal

A space where clients check the status of their cases, documents and invoices themselves, cutting the volume of phone and email chasing.

Field operations

Scheduling, job records and data capture for technicians on the move, synchronised back to the office as connectivity allows.

Consolidated reporting

Numbers that live across many spreadsheets brought into a single dashboard, refreshed automatically from the source systems.

Approval workflows

Internal requests that move through several sign-offs with a record of who approved what and when, replacing email chains.

Frequently asked questions

How much does custom software cost?

Cost is driven mostly by scope: how many flows, how many integrations and how many distinct user roles. A first version focused on one process costs substantially less than a full platform. We prefer to define scope and quote a real figure after discovery rather than guess before understanding the problem.

How long does it take?

A first usable version typically takes from a few weeks to a few months depending on scope. We build in increments so working parts exist early, rather than a single delivery at the end.

Do we own the software?

Yes. The code and the data belong to the client. We hand over the repository and the documentation another team would need to continue the work, should you ever decide to move.

What happens after launch?

Software needs maintenance: security updates, fixes and evolution driven by real usage. We agree the support model up front so you are not left depending on ad-hoc availability.

Can you work with the software we already use?

Usually yes. It is very common for the goal to be not replacing everything, but connecting existing systems and building only the missing piece.

Where do you work?

We are based in Portugal and work remotely with clients internationally, in six languages. Most projects run entirely at a distance.
